How does a Zapier integration work?

Zapier gives you the power to integrate Skedda with hundreds of other applications so that you can automate your workflows. Think of Zapier as the middle-man which allows data to transfer from Skedda to the other application.

There are three terms to remember when creating a Zapier Integration: Triggers, Filters and Actions.

At this stage, Skedda offers one-way integrations, which means that data can go from Skedda to the other application, and not the other way around. So, when you are creating an integration in Zapier, Skedda will always be the 'trigger'.

The Skedda Triggers are (1) a new user booking and (2) a new internal booking.

Filters can be added, so that the trigger only triggers an action when a custom condition is met.

The Action is the final action that takes place. This might be to send an email, draft a Xero or Quickbooks invoice or create a Trello card.

Here are two examples:

  1. A new user booking in Skedda (trigger) that is for the space called 'Main Hall' (filter) creates and sends an email from an Admin's Gmail account to Bob's team (action).

  2. A new user booking in Skedda (trigger) that has a non-zero price (trigger) drafts an invoice in Xero (action).

How to create a Zapier Integration

The first step is to look into Zapier and make sure the application you want to integrate with is here. There are hundreds of new, innovative and recognized applications for invoicing, CRM, team-communications, SMS, email and more!

To get your Skedda API key that you'll need for Zapier, click into the Settings >  Integrations area (this can be reached by the owner of your Skedda account). Then, click on 'Show key' and copy.

The next step is to login to your Zapier Account. If you don’t already have a Zapier account, create one at

When you have logged in, click on 'Make a Zap!'

Type Skedda into the search bar (Skedda is your trigger app).

Choose the trigger: either a new user booking or new internal booking. Note that updates to bookings and cancellations of bookings are not able to be synced at this time.

Once you've chosen a trigger, click the button 'Connect a New Account' to link up your Skedda account:

Complete the name of your Skedda URL and paste the API key that you copied earlier.

Now it gets interesting! It's time to select the online tool to connect too. There are hundred of options within Zapier. 

From this point each app is different in the 'Actions' it allows you to create. In the option below you can see that Gmail is showing the options to 'Create Draft' or 'Send Email'.

When one of these options is selected, Zapier will guide you through the process of linking that application to Zapier too. In this example, a new user booking in Skedda is the trigger and 'Create Draft' or 'Send Email' in Gmail is the action.
