Overview
Each space can have a set of attributes describing their features, type of space, and capacity.
Use the Type attribute to inform users that your space is a desk, a meeting room, a parking space or something else.
Use the Capacity attribute to indicate how many people the space can accommodate.
Space Tags can be used for any other information to describe your space. These tags can be used for quick filtering on the scheduler.
Setup
Creating Attributes
To create attributes:
Go to the ‘Spaces & Attributes’ settings page.
Scroll down to the ‘Attributes’ section and click on ‘Add Attribute’.
Select the ‘Category’ of the attribute that you want to create (Type, Capacity or Space Tags).
For the Type and Space Tags attributes,
Enter a name.
Select an icon of your choice.
Optionally pick the spaces that they apply to.
Click ‘Create Attribute’.
For the Capacity attribute,
Enter a number.
Optionally pick the spaces that they apply to.
Click ‘Create Attribute’.
The newly created attribute will be displayed in the corresponding attribute section as well as in the attribute dropdowns on a space.
Another way to create a new attribute is from within the dropdown of the attribute.
Editing Attributes
To edit an attribute:
Go to the ‘Spaces & Attributes’ settings page.
Scroll down to the ‘Attributes’ section.
Click on the ‘Edit’ option on the attribute that you want to edit.
Make any changes needed such as name, icon (if applicable) or the selected spaces.
Click ‘Save changes’ to save your edits or ‘Close’ if you would like to discard them.
Keep in mind that editing an attribute that has already been assigned to spaces will be reflected on those spaces.
You will receive a warning if you assign a type or capacity to a space which already has another value for those attributes. This is because each space can only have one type and one capacity value assigned to it. The warning is simply to confirm that you are aware of the change that you will be making as the old attribute value will be replaced with the new value.
The above warning does not apply to space tags as you can have multiple space tags on a space.
Removing Attributes
To remove an attribute:
Go to the ‘Spaces & Attributes’ settings page.
Scroll down to the ‘Attributes’ section.
Click on the ‘Remove’ option on the attribute that you want to remove.
Note that you will receive an additional confirmation message if there are spaces that have the attribute value being removed.
Assigning Attributes to Spaces
To assign attributes to a single space:
Go to the ‘Spaces & Attributes’ settings page.
Select the Space that you want to add attributes to from the list.
Below the description field you will see dropdowns for Type, Capacity and Space Tags.
Select the attributes you want to assign to the space.
You can only assign a single type and capacity to a space, but it can have multiple space tags.
You can also assign an attribute to multiple spaces in cases such as several desks that need to have the type ‘Desk’.
To assign an attribute to multiple spaces:
Go to the ‘Spaces & Attributes’ settings page.
Scroll down to the ‘Type’ section of ‘Attributes’ section.
Click on the ‘Edit’ option on the attribute you want to assign, for example ‘Desk’.
Click on the ‘Spaces; dropdown and select all the spaces of that type.
Click ‘Save changes’.
How your team can use space attributes
Viewing Attributes on a Space
Once you have set up attributes on a space, they will be visible to your team when they make a booking from the scheduler.
Click on the info about any space to see the attributes on that space alongside any visuals or description that was added to it.
Filtering by Space Tags
End users can filter for spaces using Space Tags to quickly find the space that they are interested in booking.
This is available on the scheduler views such as Map, Day, Month, Grid or List. Users can select a specific tag to search by.
To filter space by filter tags,
Go to any of the schedule views (Day / Month / Grid / List / Map).
Click the ‘Space Tags’ dropdown on the top right corner of the page.
Select the space tag that you want to filter by.
To clear your selection and go back to seeing all spaces, simply click on ‘Clear selected’.
If you are a system admin or owner, you will see the additional option to ‘Manage Tags’. This will take you to the ‘Spaces & Attributes’ settings page where you can create, edit or remove space tags.
Note
If you are familiar with ‘Space Views’, you will notice that they have been converted to ‘Space Tags’. Any space views that you previously created will simply be listed as Space Tags in the ‘Space & Attributes’ settings page. There is no change to the way space views worked before.
We have simply extended this functionality for easier management and filtering on the map view.
