Add-Ons (Skedda)

Enhance the booking experience by offering equipment and other amenities directly within space bookings.

Written by Keerthi Chandra Sekaren

Overview

Add-Ons allow you to include extra items or services — like AV equipment, whiteboards, webcam kits etc. — directly within the booking flow. By integrating these into the booking process, and with the ability to tie add-ons to specific spaces, you can ensure that resources are reserved before anyone arrives.

Plan Requirement:

Please note that Add-Ons is only available on the Premier plan (Skedda) If you are on a different plan, please reach out to our team to discuss upgrading.

Key Benefits

  • Streamline Resource Management: Track equipment and amenities alongside space bookings in one place.

  • Automated Inventory: Prevent double-booking resources by linking Add-On availability to specific spaces or total stock counts. You can also specify a maximum quantity per booking and archive outdated or out-of-service add-ons.

  • Seamless Booking: Request a space and any add-ons in a single, uninterrupted flow.

How to Set Up Add-Ons

To begin configuring your Add-Ons, navigate to Settings > Add-Ons.

1. Create your Add-On(s)

Click the Add add-ons button to get started. To create multiple add-ons at once, type one add-on name per line.

2. Define the Add-On Details

Give your Add-On a clear name and description. The description appears in the Add-Ons menu within the booking flow, so make it easy for colleagues to understand what they're selecting.

3. Conflict Resolution & Availability

This step ensures you don't over-allocate resources you don't have.

  • Total Stock: Set a maximum quantity available across your entire organization. You can also define a maximum quantity of an add-on per booking.

  • Space Linking: Restrict specific Add-Ons to specific spaces based on physical availability. For example, "Board Room Projector" should only appear when booking "Board Room."

The Booking Experience

When selecting a space and time, you'll see an Add-Ons section in the booking flow.

  1. Select your space(s).

  2. Relevant Add-Ons appear in the Add-Ons dropdown based on your Space Linking and user tag visibility rules.

  3. Select the quantity needed.

FAQs

Can admins add items to an existing booking?

Yes. You can edit an active or upcoming booking from the calendar and manually add or remove Add-Ons as needed.

What happens if multiple spaces are in a booking?

Add-on availability is treated as a union. If Add-on 1 is only available in Space 1, and Add-on 2 is available in Space 2, booking both spaces makes both Add-ons eligible to include in the booking

What happens if a booking is cancelled?

If a booking is cancelled, any add-ons included in that booking are also removed.

What happens if a booking with Add-Ons is edited?

For now, included add-on(s) remain within the booking, even if the rules linking to one or more included spaces or add-ons have changed. When changes to existing bookings no longer support one or more included add-ons, a warning is shown in the Edit Booking experience:

What if I don't want to show an Add-On?

If you wish to hide an add-on from future bookings, you may archive the add-on. This will make it such that the add-on appears in the booking form, but in a disabled state such that future bookings cannot include the add-on. To hide an Add-On from public view without archiving it, you can restrict its visibility to a specific internal Admin tag.

How can I reorder Add-Ons in my booking form?

To re-order add-ons, use the drag and drop functionality on the Settings > Add-Ons page. Archived add-ons are automatically moved to the bottom of the list.

Does add-on information get synced with Microsoft / Google?

No, information about add-ons do not get synced with the external calendar. This is because Microsoft / Google do not have equivalent fields to support the reception, and editing, of add-ons found in Skedda bookings.

You can make bookings on the Skedda side and include add-ons, but this information will not be synced across to bookings in Microsoft / Google.
