Set up and manage assigned spaces for your team

Overview

Assigned spaces are a category of spaces meant for dedicated use. These spaces will not be bookable and are designed to be assigned to a specific user.

You can easily manage them with the 'Pending assignment' state, view them on all scheduler views and filter them on the List view for all your admin needs!

Please note that Assigned spaces is only included on the Premier plan. If you have an existing Starter or Plus Skedda account, please reach out to our team to discuss the upgrade.


Setup

Adding Assigned Spaces to your venue

  • Go to the ‘Spaces & Attributes’ settings page.

  • Click on 'Add Spaces'.

  • Select the space category 'Assigned space'.

  • Enter the names.

If you need to add a large number of assigned spaces at once make a list outside of Skedda (ex. Excel). Copy and paste this list into the space names input.

Assigning the space to a user

  • Once you add the spaces, they will appear at the bottom of the list in the 'Pending assignment' state.

  • To assign them to an existing user, click on the 'Assigned to' dropdown and select the user that you want to assign the space to.

Note: You can re-assign the space to another user or change it back to 'Pending assignment' at any time.

Tip: You can easily get to the space settings from the map view by by clicking on 'Edit space' option.

Marking & removing assigned spaces on the map

Marking & removing assigned spaces on the map works the same way as you would mark & remove bookable spaces.

The only difference is how they look on the map. They are visually differentiated from bookable spaces by the pin icon in your venue's color on the bottom left corner.


How your team can use assigned spaces

Viewing assigned spaces on the scheduler

Assigned spaces will appear on all views except that they will not be bookable. Your team can see where their colleagues or friends are sitting depending on the visibility settings of the assigned space as well as overall user visibility rules.

  • Day view

  • Month view

  • Grid view

  • List view

  • Map view

Space category filters in the list view for admins

All admin users will have a new filter option in the List view to filter by space category. This can be used to see only bookable spaces or assigned spaces or both.

Exporting assigned spaces information

A new column has been added to the export file from the List view, namely "Assigned space" and the values will be "Yes" if it is an assigned space, "No" if it is a bookable space.

The filtered list can also be exported for any of your admin needs.
