Webex integration

Skedda can automatically create a Cisco Webex meeting and attach the join link to a booking. Once an admin connects Webex for the organization, users can pick Webex as their video-conferencing option when booking a synced resource - just like Google Meet, Microsoft Teams, or Zoom.

This article covers how to connect Webex, how users add a Webex link to a booking, and how the link behaves across synced calendars, notifications, and recurring bookings.

How it works

  • An admin connects Webex once for the whole organization in Settings → Integrations, using a single OAuth sign-in.

  • After that, anyone creating a booking on a synced resource (Google Workspace or Microsoft 365) can choose Webex as the conferencing option.

  • Skedda creates the meeting through your connected Webex account and attaches the join link to the booking.

  • The link appears in the Skedda booking details, in the synced Google or Outlook event, and in booking notifications.

  • Recurring bookings reuse a single Webex link across all occurrences.

Connecting Webex (admins)

  1. Go to Settings → Integrations

  2. Click Connect Webex. You'll be taken to Webex to sign in and authorize Skedda.

  3. After you approve access, you're returned to Skedda and the integration shows a green Configured badge.

That's the whole setup - there's no multi-step configuration. Webex is connected for the entire organization, so users don't each sign in individually.

Managing the connection

  • Configured (green) - Webex is connected and ready to use.

  • Disconnected (yellow) - the connection was lost. Click Reconnect to restore it.

  • Authorization failed (red) - Skedda could no longer authorize with Webex. Click Reconnect to sign in again.

  • To disconnect, open the section's menu and choose Remove integration.

Adding a Webex link to a booking (users)

When you create or edit a booking on a resource that's synced to Google or Microsoft, you'll see the option to add a video-conferencing link:

  1. Open the booking and go to the video-conferencing option.

  2. Choose Webex from the list of conferencing options.

  3. Save the booking. Skedda creates the Webex meeting and attaches the join link.

Once the meeting exists, a Join online button appears in the booking's sync settings so you can open the meeting directly.

When the Webex option is available

The Webex option only appears when all of these are true:

  • An admin has connected Webex for your organization.

  • The booking is on a resource that's synced to an external calendar (Google Workspace or Microsoft 365).

  • The booking has a booking holder.

Webex meetings are created for booking holders whose email address matches a managed user in your connected Webex organization. If a booking holder isn't a managed Webex user, the booking is still saved, but a Webex link may not be created.

Where the meeting link appears

  • Booking details in Skedda - via the Join online button on the booking's sync settings.

  • Synced calendar event - the Webex link is added to the corresponding Google Calendar or Outlook event.

  • Booking notifications - the join link is included in booking confirmation and reminder emails.

Note: Updates to synced calendars can take a little time to appear, especially where an external calendar is involved.

Recurring bookings

For a recurring booking, Skedda creates one Webex meeting and reuses the same join link across every occurrence - attendees don't get a different link for each date. If you change or cancel occurrences, Skedda updates the Webex meeting to match.

Troubleshooting

  • I don't see the Webex option when booking. Check that Webex is connected in Settings → Integrations, the resource is synced to Google or Microsoft, and the booking has a booking holder.

  • The integration shows "Disconnected" or "Authorization failed." An admin should open Settings → Integrations and click Reconnect.

  • A booking saved but has no Webex link. The booking holder's email may not match a managed user in your Webex organization, or Webex couldn't create the meeting. The booking itself is unaffected.
